Privacy Policy

This page explains what information RS Window Cleaners collects, how we use it, and the choices you have. We keep it short and in plain English.

What we collect and why

When you ask for a quote - through the quote calculator, the contact form, email, text or a phone call - we collect the details you give us, which are usually your name, address, phone number and email address, along with details about the work you need. Email is required so we can confirm receipt of the request, respond accurately and maintain a reliable contact record if you become a customer.

Our lawful bases

Steps before a contract and performance of a contract: to prepare a quote, arrange visits and provide the cleaning service you request.

Legal obligation: to keep records required for tax, VAT and accounting purposes.

Legitimate interests: to administer rounds, handle customer-service or payment queries, maintain business records and protect the business against disputes, provided your rights do not override those interests.

Consent: to use optional Google Analytics cookies. You can withdraw this consent through Cookie Settings at any time.

How your quote enquiry is handled

Quote requests sent through the website form are processed by FormSubmit, a third-party form service that forwards your message to our email inbox. Your details pass through FormSubmit only to reach us; we don't use them to build marketing lists. You can read FormSubmit's own privacy information at formsubmit.co.

Customer records

If you become a customer, we keep the details needed to run your cleaning round - including your name, address, phone number, email address, visit history, service notes and payment records - in CleanerPlanner. We use it to schedule visits, send reminders and administer your account. Access is limited to authorised RS Window Cleaners staff.

How long we keep information

Quote enquiries that do not proceed: normally deleted within 6 months of the last contact, unless we need to keep them longer to resolve a complaint or legal issue.

Customer and service records: kept while you are a customer and for up to 6 years after the last service where needed for accounting, tax, payment, complaint or legal purposes.

Accounting and transaction records: kept for up to 6 years to meet tax, VAT and record-keeping duties.

Google Analytics: collected only after consent and retained according to our Google Analytics settings. Analytics cookies may remain for up to 2 years unless you delete them or withdraw consent.

Cookies and website analytics

We use Google Analytics (GA4) to understand how visitors use this website - for example, which pages are popular - so we can improve it. Google Analytics sets cookies (such as _ga) that help count visits and sessions.

These analytics cookies are only set if you press "Accept" on our cookie banner. If you decline, or ignore the banner, no analytics cookies are set and no analytics data is collected. You can change your choice at any time using the Cookie Settings link in the footer. Google's own information is available in the Google Privacy Policy.

Aside from analytics, we store one small item in your browser to remember your cookie choice so we don't keep asking. That isn't used for tracking.

Your rights

You have the right to ask what data we hold about you, to have it corrected, or to have it deleted. To make a request, email info@rswindowcleaners.co.uk and we'll respond as soon as we can. If you're unhappy with how we've handled your data, you can also contact the UK Information Commissioner's Office (ICO) at ico.org.uk.
